How Do I Send Clean Smarts Tutorials to My Customers?

Create or confirm a customer user, send their login, then share the Customer Portal help articles. Those tutorials cover both the web portal and the mobile app.

Give a building client a Clean Smarts login, then send them the Customer Portal articles on the Help Center. Those tutorials are written for your customers and cover both the web portal and the mobile app.

Do not send Mobile App or Web Portal staff articles as their main pack. Those pages cover clock-in, payroll, schedules, and company setup that customers do not use.

Applies to: Account administrators and managers with the Users (Edit) module.

Before You Start

  • Decide which buildings the customer should see. Location access is what lets them open completed work, issues, messages, and other customer screens.
  • Use Classification: Customer and the Customer role. Customer-classified users cannot use Admin, Manager, or Cleaner.
  • Have their name, Username / Email, and Mobile Number ready if you still need to create the profile.
  • The Customer Portal section of the Help Center stays hidden until Clean Smarts publishes at least one customer article there. After that, it appears on support.cleansmarts.com.

Confirm or Create the Customer User

If the person already has a login, open their profile and confirm the settings below. If they do not:

  1. Open Manage Users from your profile menu in the bottom-left corner, or press Ctrl/Cmd + K and search for Manage Users.
  2. Click Add User.
  3. On Personal Information, enter First Name, Last Name, Username / Email, Mobile Number, and Language.
  4. Under Classification, choose Customer.
  5. Set User Role to Customer.
  6. Click Create User.

After you save, Clean Smarts stays on Personal Information and unlocks the other profile tabs.

The Customer role is the default client pack: completed tasks and scans, customer messaging, service requests, supply requests, inspection scores, and no-show notices. Customers do not get Time & Pay, clock-in, or payroll. They do not need a Punch-In PIN.

Give Location Access

  1. Open the user's Location Access tab.
  2. Check the box next to each location they should see.
  3. Click Save if the page shows unsaved changes.

You do not need to assign the customer to shifts, inspections, or work orders. Those assignments are for staff who perform the work.

If they can sign in but do not see a building, come back to this tab first.

Send Login Instructions

New users can be created before you send login instructions. After the profile is saved:

  1. Stay on Personal Information, or return to Manage Users and open the user's three-dot action menu.
  2. On Personal Information, use Send Email or Send Text under Set Password / Reset Password.
  3. From the Manage Users action menu, use Send Login Email or Send Login Text.

The customer can use the same login on the web at app.cleansmarts.com and in the current Clean Smarts mobile app.

Optionally open Notifications and choose Mobile Push, Email, Text/SMS, or Save to Alert Inbox. Keep these narrow if the person has access to many locations, or they can get more messages than they want.

Share the Customer Portal Tutorials

Copy one Help Center link. That is the pack to send.

  1. Open the Clean Smarts Help Center: https://support.cleansmarts.com.
  2. Open Customer Portal.
  3. Send that category page, or send the landing article What can I do in Clean Smarts as a customer?

Ask them to start with the landing article. It maps Clean Smarts to completed work, quality, service requests, messages, supplies, and notifications, and it covers both the web portal and the phone app.

If Customer Portal is not on the Help Center homepage yet, Clean Smarts has not published those customer articles. Wait for that section to appear. Do not substitute Getting started, Mobile App, or Web Portal staff articles.

Tips and Troubleshooting

I don't see Add User or the password buttons. You need Users (Edit). Password buttons stay disabled until you click Create User.

I can't choose Customer as the role. Set Classification to Customer first. The Customer role is only available for customer users.

The customer can log in but sees nothing useful. Check Location Access, then confirm User Role is Customer (or a custom role with the customer modules they need).

They asked for step-by-step navigation on web and mobile. Send Customer Portal, not a staff training video or the Mobile App clock-in articles.

They only need proof of work or a place to report a problem. Still send the Customer Portal landing article. It points them to completed tasks and photos, inspections, and service requests.
