How do I request supplies in the mobile app?
Choose a location, enter the quantity needed for each item, and submit a supply request from the Clean Smarts mobile app.
Use a supply request when a location needs items such as paper products, soap, liners, or cleaning materials. Clean Smarts sends each item to the company or customer supply managers configured for that location.
Applies to: Mobile users whose role or custom permissions include Supplies (Request) or Supplies (Edit). You also need access to the location. An administrator sets up the supply catalog, location assignments, order limits, and notification recipients in the web portal.
Before You Start
The app only lists supplies that an administrator has added to the company catalog and assigned to the selected location. The administrator also chooses whether each item is Provided by cleaner or Provided by customer.
If you do not see Supplies in the app, ask an administrator to check your modules. The three supply modules have different purposes:
- Supplies (Request): Create and fulfill supply requests.
- Supplies (Edit): Create and fulfill requests, set quantities, and see supply costs.
- Supplies (Set Quantity): Record the current quantity at a location. This is not the standard request permission.
After an administrator changes your permissions or a location's supply list, open MORE > Sync before trying again.
Submit a Request From MORE
- Tap MORE, then Supplies.
- On My supply requests, stay on By location and tap the location that needs supplies. A number beside a location shows how many requests are still open there.
- Open Open requests and tap the + button. The + button is also available from Fulfilled requests.
- On New supply request, complete any details you need: - Purchase Order Number: Optional. Leave it blank if your company does not use purchase order numbers. - Notes: Optional. Tap the edit icon, enter the note, then tap Done.
- Find each item and enter the quantity you need. Use + and −, type a number, or use the scanner button if the item has a barcode.
- Review the Quantity total at the bottom. Users with Supplies (Edit) can also see supply costs and currency totals.
- Tap Submit request. The button remains unavailable until the total quantity is greater than zero.
- Wait for Successfully created supply request. The app returns to the previous screen after the request is saved.
Items are grouped under Provided by cleaner and Provided by customer. These headings identify who is expected to supply the item; you do not need to send separate requests.
Request Supplies While Viewing a Location
If you already have a location or shift open:
- Open the location from MY JOBS.
- Swipe across the location tabs and tap Supplies.
- Enter the quantity needed for each item.
- Tap Submit request.
- At Add note to request, enter an optional note and tap Confirm, or tap Continue to submit without a note.
- Wait for Successfully created supply request.
This location flow does not include a Purchase Order Number field. Use MORE > Supplies when the request needs one.
Shortcut: Users with Supplies (Request) can also tap + on HOME, choose New supply request, select a location, and complete the same request form.
Find the Request After You Submit It
- Open MORE > Supplies.
- Use All requests to review open requests across your locations.
- To see a specific location's history, use By location, tap the location, then open: - Open requests for requests that still need to be completed. - Fulfilled requests for requests that have been closed.
Opening a request shows the requested and fulfilled quantity for each item, along with its notes and purchase order number when present.
Troubleshooting
- Supplies is missing from MORE or the location. Your role does not include a supplies module. Ask an administrator to add the correct module, then Sync or log out and back in.
- The location is missing. You do not have access to that location. Ask an administrator to update your location access.
- No items are available. The supplies may exist in the company catalog but are not assigned to this location. An administrator must add them to the location's Supplies list in the web portal, then you should Sync.
- Submit request is disabled. Increase at least one item's quantity above zero.
- The app says Max Quantity Exceeded. The location has an order limit for that item. The limit accounts for the current quantity and quantities already requested, so reduce the new request.
- A barcode does not find an item. The scanned supply is not available at this location, or its barcode has not been assigned. Select the item manually or ask a manager to check its setup.
- You did not see Successfully created supply request. Do not assume the request was saved. Check your internet connection, try again, and then look under Open requests before submitting a duplicate.
- The wrong manager received the request, or no email arrived. Request routing depends on whether each item is Provided by cleaner or Provided by customer, the location's supply managers, and each recipient's notification settings.
