How do I start and complete an inspection in the mobile app?

Start an inspection from the Inspections screen or a location, score each item, add notes or media, and submit the finished inspection.

Use the Clean Smarts mobile app to inspect a location or part of a building, score its checklist items, document what you find, and submit the results.

Applies to: Managers and inspectors whose role has both Inspections (Create) and Inspections (Reports). Users also need access to the location they are inspecting.


Before You Start

  • An administrator must add an inspection checklist to the location or sublocation and configure its tasks and scoring in the web portal.
  • Open MORE > Sync before you begin if a location, checklist, or permission was recently changed.
  • Some companies require inspectors to be checked in at the location. If you see You must be checked in at this location to perform an inspection, check in and try again.

If you can see completed inspections but not the Scheduled tab or inspection entry points, ask an administrator to confirm that your role has both inspection modules. Inspections (Create) by itself is not enough to start an inspection.


Start from the Inspections Screen

  1. Tap MORE in the bottom navigation.
  2. Tap Inspections.
  3. Open the Scheduled tab.
  4. Tap the location you want to inspect.
  5. Under Select part of the building:, tap the sublocation or area you are inspecting.

The app opens the inspection tasks assigned to that area. You can also start from the location's Inspection tab while viewing a shift or job.

To inspect the main location with specific checklists, tap Start custom inspection, choose one or more checklists on Select checklists, and tap Continue.


Score and Document the Inspection

  1. Tap a checklist item to expand it.
  2. Choose the rating that matches what you found. Default scoring uses Good, Ok, Bad, and N/A. A custom scoring template may show different choices.
  3. Use the note icon to enter a note.
  4. Use the photo icon to attach a photo or video. If your company requires live inspection media, the app will require you to capture it during the inspection instead of choosing an existing file.
  5. Turn on Create issue when the finding should also become an issue for follow-up.
  6. Repeat for the remaining items.

Use Items scored to confirm how many tasks you rated. Total score: updates as you work and includes only rated items; N/A items are excluded. The app can submit an inspection with unrated tasks, so review Items scored before submitting.

If needed, tap Add signature, draw the signature, enter the signer's name, and tap Add signature.


Submit the Inspection

  1. Review the ratings, notes, media, issues, and optional signature.
  2. Slide Submit inspection all the way to the right.
  3. At Email this inspection to additional users?, choose: - No to submit without adding recipients. Users configured to receive new-inspection emails can still be notified automatically. - Yes to select additional Clean Smarts users or enter email addresses, then continue.

After the inspection record is created, the app shows Inspection created and lists it on the Completed tab. Photos and videos upload separately and may continue after the inspection appears there. Keep a reliable internet connection until Inspection uploaded confirms that all media finished.

If the inspection cannot reach the server, the app saves it on the device for offline sync. When you reconnect, use the unsynced-items notice on HOME or open MORE > Sync.


Leave and Resume a Draft

Your work is saved as a draft on the device while you score and document an inspection.

  1. Return to MORE > Inspections.
  2. Open Scheduled.
  3. Under Draft, tap the inspection to continue it.

Drafts also appear on the location's Inspection tab. You can keep drafts for more than one location or area. If you start the same area again, the app resumes its existing draft.

Deleting a draft permanently removes its locally saved ratings, notes, media, and signature. Only tap the trash icon and confirm Delete Draft when you intend to discard that work.


Troubleshooting

  • Inspections is missing from MORE. Ask an administrator to check your role and location access. To create inspections, your role needs both Inspections (Create) and Inspections (Reports). After a change, tap MORE > Sync; if the menu still has not updated, sign out and back in.
  • The location or area is missing. Confirm that you have access to the location. Ask an administrator to assign the inspection checklist to the correct location or sublocation, then sync.
  • You see No sublocations or No data available. The selected location or area does not have inspection content available on the phone. Ask an administrator to check the location's sublocations, assigned checklists, task visibility, and schedule.
  • The score shows -- or Items scored is incomplete. Expand each task and select a rating or N/A. If rating choices are missing, an administrator should check the task's scoring template.
  • Media is still uploading or reports a failure. Do not submit a duplicate inspection if the inspection already appears under Completed. Stay online and use Retry when offered. Do not clear app storage, uninstall the app, or delete the local item while a draft or upload is pending.
