How do I assign users to a shift?

Once you've added a shift to a location, you are ready to add users to the shift so they can see the work on their schedule. There are two ways of adding users to shifts, which are described below:

Assigning users to a shift

Simple method

  1. Go to Admin > Manage Users.
  2. Click the pencil icon of the user that you want to add to a shift.
  3. Under the Access section, click in the box next to "Locations"
  4. Select the location from the drop-down.

  5. You'll be asked if you want to add the user to a shift at the location. Click "Yes".

  6. You can then select one or more shifts to add to the user's schedule.

  7. Save the changes to the user's profile.

Advanced method

This method gives you more control about what parts of your company the user can see. There are two parts: first, you give the user access to the location. Next, you assign the user to specific shifts. Why is this a two-step process? The first step allows the user to see messaging, issues, and supply requests. If you were setting up a manager, this is all you would need to do. The second part is necessary so that no-show and late alerts get properly triggered for a cleaner and so that the shift shows up in their schedule. Just remember, access and assignment are a two-step process.

Granting Users Access to the Location

  1. Go to Admin > Manage Locations.
  2. Click on the user icon next to the location where you want to grant access to the user. If you have your organization set up in layers, then you could also grant access to a location above the location with the shift. For example, if you have five locations under a location called "East Side", you could add your cleaner to the "East Side" location, and he would automatically see all locations underneath "East Side".

  3. Click the Add User(s) button and select the User.

  4. Click Submit.


Assigning Users to Shifts

Once users have been granted access to a location, you need to do also add them to a shift.

  1. Go to Scheduling > Assign Cleaners.
  2. Type the location in the search bar or scroll down to find the shift you want to add the user to. Adjust the scheduling viewing dates if necessary.
  3. Click the Add button.

  4. Select the user from the drop down, and set the dates of how long the user will be assigned to that location. If you leave the "Through" date blank, the assignment will continue until you remove it later.


Changing shift assignments

Simple method

If you've already assigned a user to a shift, changing a shift is simple:

  1. Go to Admin > Manage Users.
  2. Click the pencil icon of the user whose assignment you need to change.
  3. Under the Access section, click the "X" next to the user's current location to remove it.
  4. Select the location with the new shift from the drop-down and select the new shift.

Advanced method

Once a user has been given access to a location, you do not need to change anything in order to change their shift, as long as they also have access to the new location:

  1. Go to Scheduling > Assign Cleaners.
  2. Click on the shift that the user is currently assigned to. Add the dates you want and the user will be removed from their existing shift.

  3. Find the new shift that the user needs to be assigned to. Click "Add" to add the user to the new shift.
