How Do I Schedule Recurring Inspections?

Schedule recurring inspections for a location in Clean Smarts, including daily, weekly, monthly, or yearly inspection schedules and optional inspection times.

Use recurring inspections when a supervisor or inspector needs to check the same location on a regular schedule, such as every Friday or the second Friday of each month.

This guide shows how to create the inspection schedule from a location's Shifts & Inspections tab. After you save it, the inspection appears in that location's inspection schedule and can be assigned to inspectors now or later.

Applies to: Account administrators and managers who can manage locations and inspections in the web portal. The location must already be saved as a service location before the Shifts & Inspections tab is available.


Before You Start

  • Create or confirm the location first. If you need help with location setup, see How Do I Add a Location?
  • Build and assign the inspection checklist before the first inspection is due. The recurring inspection controls when the inspection happens; the checklist controls what the inspector scores. See How Do I Create an Inspection Checklist?
  • Decide the recurrence before you start: daily, weekly, monthly, or yearly. For example, a monthly inspection on the second Friday uses Every set to 1, the frequency dropdown set to Months, 2nd week, and Fri.
  • Decide whether the inspection should have a specific time window, such as 8:00 AM to 10:00 AM.

Open the Location's Inspection Schedule

  1. Click your profile name in the bottom-left corner, then choose Manage Locations.
  2. Select the location where you want to add the recurring inspection.You can also use the search bar at the top-left of the web portal, or press Ctrl+K, to search for the location by name.
  3. In the location menu, open Shifts & Inspections.
  4. Scroll to the Inspections section.
  5. Click Add Inspection.

The Add New Inspection dialog opens for that location.


Create the Recurring Inspection

  1. In Description, enter a clear name for the inspection, such as "Monthly Inspection" or "Restroom Quality Check."
  2. Optional: In Select Inspectors, choose the people who should be assigned to the inspection. You can also leave this blank and assign inspectors later.
  3. Open Schedule if it is not already expanded.
  4. Under Frequency, choose how often the inspection should repeat.
  5. Set the Start Date for when the schedule should begin.
  6. Optional: Set an End Date if the recurring inspection should stop after a certain date. Leave it blank if it should continue indefinitely.
  7. Optional: Set Check-in and Check-out times if the inspection should happen during a specific time window.
  8. Click Create Inspection.

After you save, the inspection appears in the Inspections section for the location.


Choose the Right Frequency

Use Frequency to decide how often Clean Smarts should create the inspection schedule.

Enter the number in Every, then choose Days. Day-of-week selection is not needed for daily frequency.

Enter the number in Every, choose Weeks, then select the weekday or weekdays.

Inspections like "second Friday of every month"

Enter the number in Every, choose Months, select On this week of the month, then select the weekday.

Years

Annual inspections

Enter the number in Every, choose Years, then select the month, week of the month, and weekday.

For the example in the video, set Every to 1, set the frequency dropdown to Months, choose 2nd week under On this week of the month, and select Fri. If the inspection should happen from 8:00 AM to 10:00 AM, set Check-in to 8:00 AM and Check-out to 10:00 AM before saving.

If you choose every 2 weeks, every 2 months, or another interval longer than one, use Recurrence Reference to anchor the cycle to the correct starting week or month.


Tips and Troubleshooting

I don't see the Shifts & Inspections tab. The location may not be a saved service location yet. Open the location's General tab, make sure Service Location is turned on, and save the location.

I don't see weekday choices. The schedule is probably set to Days. Switch Frequency to Weeks, Months, or Years to choose specific weekdays.

My monthly inspection is on the wrong week. Check On this week of the month. For "second Friday," choose 2nd week and Fri.

My every-other-week inspection is on the wrong week. Set Recurrence Reference to a date in the week when the inspection should start. Clean Smarts uses that date to anchor the repeating cycle.

My inspector does not see what to score. Confirm the inspection checklist is assigned to the location and that the checklist tasks are visible for inspections.
