How do I clock in or out another employee from mobile?
Clock another employee in or out from Users or a shift assignment when your manager permissions allow it, then verify that the punch was recorded.
Managers and supervisors can create a check-in or check-out for another employee from the Clean Smarts mobile app. Use this when an employee cannot complete the punch from their own phone.
Applies to: Managers and supervisors whose profiles include Group Check-In and the user or scheduling access needed to reach the employee's clock controls.
Before You Start
- Make sure you have an internet connection. Clocking another employee in or out is sent directly to Clean Smarts and is not saved as an offline punch for later.
- Confirm the employee and work location before you act. The punch affects that employee's time record immediately.
- Group Check-In is the module intended for clocking other employees. The current mobile app also uses Users (View) or Users (Edit) to open an employee, plus manager scheduling access to show the clock controls. Available screens can therefore vary by role.
Clock In an Employee from Users
- Tap MORE > Users.
- Stay on the Internal tab and search for the employee.
- Tap the employee's name.
- In the expanded Profile section, tap Clock user in.
- On the Clock user in screen, find the correct location and scheduled activity for today.
- Tap the location or activity. The app submits the check-in immediately and returns to the previous screen.
- Reopen Users and confirm the employee now has an In: time and the correct location.
If the employee is already clocked in, their profile shows Clock user out instead.
Clock Out an Employee from Users
- Tap MORE > Users.
- Open the Internal tab and select the employee.
- Confirm that the location shown for the active check-in is the one you expect.
- Tap Clock user out.
- Wait for User clocked out successfully.
- Return to the employee list and confirm that the active In: status is gone.
There is no separate confirmation dialog. Check the employee and location before tapping Clock user out.
Clock In or Out from an Assignment
Managers with schedule access can also act from the location or shift:
- Tap MY JOBS.
- Open the correct location or scheduled activity from Schedule, List, or Map, depending on the tabs available to you.
- Expand Assignments.
- Find the assigned employee and tap the three-dot menu beside their name.
- Tap Clock user in or Clock user out. The available action changes with the employee's current status.
- Refresh the assignment or check MORE > Users to confirm the new status.
Do not confuse Unassign user with Clock user out. Unassigning changes the schedule assignment; it does not end an active time entry.
How Location Rules Work for This Action
Clocking in another employee does not show the manager a Location Detected map or a Confirm button. The app records the punch against the location or scheduled activity you selected.
This action also does not start location monitoring on the employee's phone. If the location uses automatic clock-out when an employee leaves the site, have the employee use their own phone when possible. Otherwise, a manager may need to clock the employee out manually.
Troubleshooting
- Users is missing from MORE. Ask an administrator to check your user modules. Users (View), Users (Edit), or Timetracking (Edit) can expose the menu, but opening an employee currently requires Users (View) or Users (Edit).
- You can open the employee but do not see a clock button. Confirm that your profile has Group Check-In and manager scheduling access, such as Jobs (Edit), Schedule (Edit), Schedule (Assign Only), or Schedule (View Only). Log out and back in after modules change.
- The Clock user in screen says No locations are found. The screen uses today's visible locations and activities. Confirm the date, the employee's assignment, your location access, and your scheduling permissions.
- The employee is missing from Assignments. That path only lists employees assigned to the activity. Use MORE > Users, or assign the employee before trying the assignment path.
- The action fails or the status does not change. Confirm the phone is online, refresh the employee or assignment, and check the employee's time in the web portal before trying again.
- The app reports success but the punch is missing on the web. Do not create another punch until you verify the employee's Time Detail. Repeating the action can create a duplicate that affects payroll.
- You selected the wrong employee or location. Correct the entry from web Time Detail as soon as possible and let the person responsible for payroll know.
