How Do I Assign a Task to Appear on a Specific Day of the Week?

Set a checklist task to appear only on the days you choose—specific weekdays, every other week, or a set week of the month—using Schedule Configuration.

Not every task needs to happen daily. In Clean Smarts you can set a task to appear only on the days you choose—certain weekdays, every other week, or a specific week of the month—so cleaners see the right work on the right day and your inspectors score it on schedule.

This guide shows how to open a task's Schedule Configuration, set up weekly, bi-weekly, and monthly schedules, and apply one schedule to many tasks at once with Bulk Operations.

Applies to: Account administrators and managers who manage quality. You need the Checklist (Company) module on your role to open Quality > Checklists. Scheduling changes apply everywhere the checklist is assigned, so editing a task (or a bulk of tasks) updates it at every location.


Before You Start

  • Tasks live inside a checklist, so create or open a checklist first, then add or edit the task you want to schedule.
  • Daily is the default. A new task appears every day until you change its frequency.
  • The schedule controls when a task shows up on the cleaner's checklist and when it's available to inspect. It doesn't change who can see the task—that's set under Display Settings.

Open the Task's Schedule

  1. In the left-hand menu, open Quality and select Checklists.
  2. Click the checklist you want to edit to open it. (You can also use the three-dot menu on the right and choose Edit.)
  3. Click Add Task in the top-right corner to create a new task, or open the three-dot menu on an existing task row and choose Edit.
  4. A panel slides in from the right. Enter the Task Description if it's a new task.
  5. Open the Schedule Configuration section. It's expanded by default.

Inside Schedule Configuration you'll see two controls that work together:

  • Frequency — how often the task repeats: an Every number field next to a dropdown set to Days, Weeks, Months, or Years.
  • The day picker — a row of weekday checkboxes (Sun through Sat) where you choose which days the task appears.

While the frequency is set to Days, the weekday checkboxes don't appear—you'll see the note "Day selection is not available for daily frequency" instead, because a daily task already runs every day. Switch the frequency to Weeks, Months, or Years to reveal the weekday picker.

Schedule a Task for Specific Weekdays

Use this for a task that happens on the same days every week—say, mopping every Tuesday and Thursday.

  1. In Frequency, leave the Every field at 1 and set the dropdown to Weeks.
  2. In the day picker, check each day the task should appear (for example, Tue and Thu).
  3. Click Save Task.

The task now appears only on the days you checked, every week.

If you check Sun, a Work can be completed any time over weekend option appears. Turn it on when weekend work doesn't have to land on the exact day.


Schedule a Bi-Weekly or Less-Frequent Task

For "every other week" or longer gaps, change the Every number.

  1. Set the Frequency dropdown to Weeks.
  2. Change the Every field to 2 for every other week, 3 for every third week, and so on.
  3. Check the weekday(s) the task should appear on.
  4. To control which week the cycle starts on, turn on Manually Set Task Recurrence Start Date and pick a Start Date. This anchors the count so "every other week" lands on the weeks you expect.
  5. Click Save Task.

The same pattern works for the Months and Years options—change the Every number to repeat every two months, every three months, and so on.


Schedule a Task for a Specific Week of the Month

Use this for tasks like "the second Wednesday of every month."

  1. Set the Frequency dropdown to Months (leave Every at 1 for monthly).
  2. In On this week of the month, choose 1st week, 2nd week, 3rd week, 4th week, or Last week.
  3. In the day picker, check the weekday (for example, Wed).
  4. Click Save Task.

With 2nd week and Wed selected, the task appears only on the second Wednesday of each month.

For a once-a-year task, set the frequency dropdown to Years. You'll also get an On this month of the year dropdown so you can pin it to a specific month, week, and weekday.


Apply One Schedule to Many Tasks

When several tasks should share the same days—say, every Monday/Wednesday/Friday task on a nightly checklist—use Bulk Operations instead of editing each row.

  1. Open the checklist from Quality > Checklists.
  2. In the toolbar, open Bulk Operations and choose Edit Schedule. Row checkboxes appear, and drag-to-reorder turns off until you finish.
  3. Check the tasks you want to update. Use the header checkbox to select all visible rows. If you typed something in search first, only the filtered rows are in scope.
  4. Click Edit Schedule. A panel lists the selected tasks and the same schedule controls you use on a single task.
  5. Set the Frequency, days, and (if needed) Manually Set Task Recurrence Start Date.
  6. Click Apply to N tasks.

Bulk schedule changes only the schedule fields. Task descriptions, scoring templates, photo requirements, visibility, and display order stay as they were.

For non-daily frequencies, pick at least one weekday before applying—Clean Smarts blocks the save until a day is selected.


Tips and Troubleshooting

I don't see the weekday checkboxes. The frequency is still set to Days, so the picker shows "Day selection is not available for daily frequency." Switch it to Weeks, Months, or Years to choose specific days.

My bi-weekly task is showing on the wrong week. Turn on Manually Set Task Recurrence Start Date and set the start date to a day in the week you want the cycle to begin.

I see a "Days Serviced / Shift recurrence of the week" toggle. Leave it on Days Serviced for normal day-of-week scheduling. Shift recurrence of the week is an advanced option that ties the task to the nth shift scheduled that week instead of a fixed weekday—useful when a location's service days vary.

My change didn't appear at one location. Schedule edits apply to every location using the checklist. If a task isn't showing at a location, confirm the checklist is assigned there and check the task's Display Settings.

I only meant to change a few tasks in a long list. Use the search box before selecting, then use the header checkbox—bulk apply only includes the visible (filtered) rows you checked.
