How do I end the shift of someone who forgot to clock out?
Problem
Solution
You can end shifts in two places. The first place you can change time is the Approve Hours screen:
- Go to Time Tracking > Approve Hours
- Double check or change the Location picker and date range at the top of the window.
- Click on the "View and Approve" button next to the user that has open time.
- Click the yellow button that says "End Shift" next to the time that is open. See the note below to understand how Clean Smarts calculates the time to end the shift.
The other place that you can end the shift is the Time Detail screen:
- Go to Time Tracking > View Time Detail
- Double check or change the Location picker and date range at the top of the window.
- Click the yellow button that says "End Shift" next to the time that is open. See the note below to understand how Clean Smarts calculates the time to end the shift.
The shift end is calculated by first checking to see if the employee was assigned to a shift when he or she clocked in. If so, clicking the End Shift button will set the clock-out time so that the worked time matches the length of the shift. For example, if the employee clocked in at 9:05 a.m., and the shift assignment is from 9:00 a.m. to 11:00 a.m., the clock-out time will be set to 11:05 a.m. (a 3-hour shift).
If the employee was not assigned to a shift (such as when a manager is paid hourly and is recording time while on site), the system attempts to find the shift nearest to the time that the employee clocked in, and will set the worked time to match the length of that shift.
You can always edit the clock-out time of the time entry if the End Shift button's auto check-out calculation isn't correct.
