How do I sync users using an integration?

NOTE: not all payroll software listed in Company Settings have the capability of syncing user profiles. Currently, QuickBooks Online, QuickBooks Desktop, and Paycom support user syncing as described in this article, but more apps are sure to follow in the future!

How to Sync Users

Once you've selected your integration, you can import employee profiles as users from your payroll software into Clean Smarts.

  1. In the web app, go to Admin > Manage Users.
  2. Click on the "Sync Users" button. This will open the Sync Users pop-up box.

  3. Click on the "Get Users" button in the top-right. This will refresh the list of active employees currently in your payroll software and list them in the box on the right-hand side.

    For QuickBooks Desktop users: QuickBooks does not allow initiating a data sync from Clean Smarts, so there is no "Get Users" button. Instead, each time you run an update from QuickBooks Web Connector your employee and customer lists will be sent to Clean Smarts to be staged for matching.


  4. If your employee already has a user profile in Clean Smarts that needs to be associated with his or her profile in your payroll software, drag the employee's name card from the left-hand box to the right-hand box. This will associate the payroll software's employee ID with the Clean Smarts profile.

  5. If your employee does not have a user profile in Clean Smarts, click the green plus button next to the employee's name in the right-hand box. This will create a new Clean Smarts profile and populate it with the user's name and email address.

  6. You can always disconnect the payroll software employee number from a user's Clean Smarts profile by hovering your mouse over the employee's card in the bottom panel. A red X button will appear over the double arrow icon. Click the button to remove the payroll software user ID from the employee's Clean Smarts profile. The name will be removed from the bottom panel and will re-appear in the left- and right-hand panels as unassociated profiles in the respective systems.
