Why don't my shifts match the web app?

Find out why a shift appears differently in the Clean Smarts mobile app and web calendar, then refresh the phone's schedule.

Use this when a shift is missing, outdated, or shown on only one device. Start by comparing the same employee and date, then refresh the schedule stored on the phone.

Applies to: Cleaners and managers using the current Clean Smarts mobile app. What you can see depends on your schedule permissions and assignments.


Compare the Same Employee and Date

  1. Open the schedule calendar in the web portal.
  2. Select the date and employee you are checking. Clear any search or event filters that could hide the shift, and confirm the employee is included under Selected users.
  3. Confirm the shift's location, days, start and end times, active date range, and employee assignment.
  4. On the phone, tap MY JOBS, then Schedule.
  5. Tap the calendar icon and select the same date shown on the web.
  6. Clear the mobile search field.
  7. Use Mine to check shifts assigned to the signed-in user. Managers with broader schedule permissions can use All to check other schedules.

The List and Map tabs are location browsers. They are not the same as Mine and All, so use Schedule when comparing shifts.

If the phone does not have a Schedule tab or an All option, the user's modules do not provide that view. An administrator should review the user's schedule permissions.


Do Not Use Your Next Shift as the Full Schedule

On HOME, Your next shift shows only an assigned shift that is already in progress or starts within the next hour. A shift later in the day can be correct in MY JOBS > Schedule without appearing on HOME yet.

Overnight shifts can also span two calendar dates. Compare the shift's start date and times in Schedule, not only the day currently shown on HOME.


Refresh the Schedule on the Phone

The app stores schedules, assignments, and locations on the phone so they remain available with poor signal. It normally receives online updates, but a manual Sync downloads a fresh copy when something looks stale.

  1. Connect the phone to Wi-Fi or mobile data.
  2. Tap MORE.
  3. Tap Sync.
  4. Tap the Sync button on the Sync screen.
  5. Wait for the success message. If you receive a sync error, check the connection and try again.
  6. Return to MY JOBS > Schedule and select the same date again.
  7. If a blue refresh button appears in MY JOBS, tap it to reload the schedule view.

A successful Sync replaces the phone's cached shifts, assignments, and locations with current server data. A deleted shift, removed assignment, or archived location should disappear if it is no longer included for that user.

Logging out and back in does not normally clear this schedule cache, so use MORE > Sync instead.


Check These Causes If It Still Does Not Match

  • The web calendar is hiding the employee. Clear the web calendar filters and make sure the employee is checked under Selected users. A shift can exist on mobile while a web filter hides it.
  • The employee is not assigned for that date. Mine includes a shift only when the signed-in employee's assignment covers the selected date. Check both the shift and the employee assignment date range on the web.
  • The wrong mobile date is selected. The Schedule view starts at the selected date, loads about a week ahead, and loads more dates as you scroll, up to about two weeks from that starting date. Use the calendar icon for work outside that range.
  • The phone's date or time zone is wrong. Mobile schedule dates and Your next shift use the phone's local date and time. Turn on automatic date, time, and time zone in the phone settings, especially for overnight work or travel between time zones.
  • The phone is offline. The app continues showing its last downloaded schedule until it can connect and Sync successfully.
  • The shift or location was recently removed. Confirm the change on the web, then complete a successful Sync. Do not rely on the old cached card.
  • The screens show different scopes. Compare Mine with the employee's web schedule. Compare All only when the manager has permission to view broader schedules.

Update the Clean Smarts app if a successful Sync and the checks above do not resolve the mismatch.


What to Include If You Still Need Help

Provide the affected date, location, employee role, whether the mismatch is on HOME or MY JOBS > Schedule, the phone's time zone, the app version, and whether MORE > Sync succeeded. Do not send passwords or other private employee information.
