How do I view location notes, photos, and details on mobile?
Find access instructions, location notes, custom fields, files, and work order photos while you are on site.
Use this when you need access instructions, cleaning notes, supply information, files, or other site details on your phone.
Applies to: Users who have access to the location or work order. The notes and fields you see depend on your user modules and the visibility settings chosen by an administrator.
Open the Location
- Tap MY JOBS.
- Open the shift, work order, or location from Schedule, List, or Map. If you are already checked in, you can also tap CURRENT SESSION.
- Stay on the Main tab.
- Expand Location details if it is closed.
- Scroll down to read the notes and custom fields available to you.
Location details starts open for a location or shift. When you open a work order, Work order details starts open and Location details starts closed.
Find Each Type of Information
- Location name and address: The location name appears at the top of the screen. Tap the location-pin icon beside it to show the street address, then tap the address to open it in your map app.
- Check-in and check-out time: The scheduled time appears in Location details for a location or shift. For a work order, it appears in Work order details.
- Notes: The Notes: section contains cleaner-facing location instructions. This is the best place for long, formatted information such as access steps, alarm instructions, or a bulleted supply list.
- Admin notes: The Admin notes: section appears only for users with administrative location access.
- Custom fields: Your company may add fields such as Cleaning Supplies, contacts, dates, choices, or other site-specific details. Each field appears only when its visibility setting allows your role to see it.
- Files: A location photo or document attached through a file-type custom field appears under that field in Location details. Tap an image to open the gallery, or tap a document tile to open it with an app on your device.
Formatted text and links are supported in Notes: and Admin notes:. Tapping a phone-number link gives you Call and Send sms options.
Custom fields use a compact label-and-value layout and do not support the same rich formatting as notes. If a long custom field such as Cleaning Supplies is difficult to read, ask an administrator to move the formatted instructions to the location's cleaner notes.
View Photos
There is no general Photos tab for every location:
- For a location or shift, look for photos and documents in file-type custom fields under Location details.
- The Photos tab appears only when you open a work order. It contains multimedia attached to that work order, not the location's file fields or checklist task photos.
- If the work order has no attachments, the tab shows No multimedia.
Work order photos are loaded from the server, and location files open from their stored file links. You may need an internet connection to load or open media that is not already cached on your device.
Why Information May Be Missing
- The location is missing from MY JOBS. Your user may not have access to that location, shift, or work order.
- Notes: is missing. Cleaner notes require a relevant Checklist, Inspections, Timetracking, or Locations module.
- Admin notes: is missing. This section requires Locations (Edit), Locations (View), or Manage Account.
- A custom field is missing. An administrator may not have added it for locations or may have limited its visibility.
- A field is visible but blank. No value or file has been added for this location.
- Location details says No data. No location custom fields are visible to you. Standard notes can still appear above that message.
- The Photos tab is missing. You opened a location or shift rather than a work order. This is expected.
- Recent changes are missing. Open MORE > Sync, tap Sync, and reopen the location.
- Notes show raw formatting codes. Update Clean Smarts from the App Store or Google Play, then sync again. Current app versions render supported formatting in location notes.
- There is no Edit button. Most cleaners can view these details but cannot change them. Ask an administrator to update the location on the web.
