How do I use Who's working and manage users on mobile?
Use Who's working or Users to review current and recent check-ins, find employees, and open the manager actions your modules allow.
The Who's working Home tile and MORE > Users both open the mobile Users list. Use it to find active users you can access, review current or recent check-in information, and open permitted employee actions.
Applies to: Supervisors and managers. What you can see and do depends on your scheduling, timekeeping, and user modules, plus your location access.
Before You Start
The two entry points have different module requirements:
- Who's working appears on HOME with Schedule (Edit) or Schedule (View Only).
- Users appears under MORE with Users (View), Users (Edit), or Timetracking (Manage).
- Opening an employee's profile requires Users (View) or Users (Edit). With Timetracking (Manage) alone, you can see the list and check-in details, but tapping a user does not open their profile.
The list normally includes active users connected to locations you can access. Account administrators and users with Manage Account or Users (See All) can see active users across the company.
See Who Is Working
- Open HOME.
- Tap Who's working.
- Stay on Internal for employees and contractors, or tap Customer for customer users.
- Use Search to find someone by first or last name.
- Review the location and time shown beside the user: - A yellow bar and In: time mean the user has a current check-in. - A green bar with check-in and check-out times shows the user's most recent completed check-in from the previous 24 hours. - No location or times means the list did not return a current or recent check-in for that user.
Who's working is not a filtered list of only clocked-in employees. It opens the full Users list available to you. The colored bar and times appear only with Timetracking (Manage); without that module, a current or recent location may appear without the time details.
To open the same list another way, tap MORE > Users.
Open a User and Take Action
Tap a user when you have Users (View) or Users (Edit). Depending on your other modules, the profile can include:
- Profile — phone number, email, language, and Clean Smarts ID. Tapping a phone number offers Call, Send sms, or Copy Number; tapping an email offers email and copy actions.
- Custom fields — only fields configured as visible to your role. Users (Edit) can change permitted fields and tap Save changes.
- User time — today's total and the current work week's total when you also have Timetracking (Manage).
- Clock user in or Clock user out — shown when you have an applicable scheduling permission, such as Jobs (Edit), Schedule (Assign Only), Schedule (Edit), or Schedule (View Only).
- Archive user — available with Users (Edit). Archiving removes the user's access and unassigns them from future shifts, so confirm the employee and timing before continuing.
The + button starts the create-user flow. Creating users should be limited to managers with Users (Edit).
Employee profiles can contain private contact details and custom fields. Use that information only for authorized company work and do not share it outside your organization.
Compare Who's Working with Today's Schedule
These views answer different questions:
- Who's working uses check-in records to show actual activity.
- Today's schedule shows planned assignments and their schedule status.
A person can therefore appear In progress on Today's schedule while their row in Who's working shows a completed check-in. This can also happen when status data is stale or a punch came from another clock-in method.
If the difference could affect pay, verify the timestamps in web Time Detail before editing or approving time.
Troubleshooting
- Who's working disagrees with Today's schedule. Tap MORE > Sync, then compare the actual check-in and check-out times rather than only the status. If syncing does not clear the mismatch, use web Time Detail as the final check.
- I can see Users, but tapping a person does nothing. Ask an administrator to add Users (View) or Users (Edit). Timetracking (Manage) can expose the list without profile access.
- A user is missing. Check that the user is active and connected to a location you can access. An administrator can add Users (See All) when company-wide visibility is appropriate.
- Who's working or Users is missing. Ask an administrator to check the entry-point modules listed under Before You Start. After a change, tap MORE > Sync or log out and back in.
- The list is slow. Use Search instead of scrolling through a large company list, confirm you are online, and update the app.
