How do I review scan-point visits for my location?
See which rooms or areas were scanned at your building, who visited, and when—on the web or in the mobile app.
Use Clean Smarts to see whether someone from your cleaning company physically visited a room or area in your building. A scan means a cleaner used the Clean Smarts app to scan a posted barcode, QR code, or tag at that spot. It records who scanned and when. It is proof of a visit, not a full list of completed tasks or photos.
Applies to: Customer users whose role includes Checklist (Customer) and who have access to the building. You can review visits. You do not set up scan points, and you do not scan as a cleaner.
Before You Start
- Ask your cleaning company for a login and access to the buildings you should see. You only see locations assigned to you.
- Your cleaning company chooses which rooms or areas require a scan. You cannot turn scan points on or off.
- Scan-point visits and completed tasks live on the same web report, Quality > Tasks & Scans. Task photos are a separate mark on that page.
- A cleaner scan point is not the same as a public feedback QR code. Public feedback codes are for ratings and comments. Scan points are for cleaning-staff visits.
What a Scan Means
When a cleaner scans a posted code or tag at an area, Clean Smarts stores that visit for your location.
A completed scan tells you:
- Someone was at that room or area
- Who scanned
- The date and time of the scan
A scan does not list every task they completed. For completed tasks and photos, use the same Tasks & Scans report—see the completed-tasks article under Links to verify.
Review Scan-Point Visits on the Web
The web report is the easiest place to compare several days and read visit details.
- Sign in at app.cleansmarts.com.
- In the left-hand menu, open Quality.
- Select Tasks & Scans.
- Choose your building from Select a Location. The report stays empty until you pick a location.
- Choose a date range. You can review up to 90 days at a time.
- Find the room or area rows. A Scan required badge means your cleaning company expects a visit at that area.
- Read the mark for each day:
- Scan required and completed — a green check. Someone visited that area.
- Scan required but no scan completed — a red X. A visit was expected and did not happen.
- No scan required for this date — a dash. No visit was required that day. This is normal, not a missed stop.
- No scan required but scanned anyway — a blue dashed check. Someone scanned even though a visit was not required.
- Hover or tap a completed scan mark to see who scanned and when.
Open the Legend (the information icon) if you want the same labels next to the icons. The scan marks are listed under Location scans.
Use search to filter the Location / Task list by name. Use the export icon to download a copy of what you are viewing.
Task rows on this page show completed work and photos. They are not scan visits.
Review Scan-Point Visits on the Phone
On the phone, open the building and review its Scan Points tab for one date at a time.
- Open the Clean Smarts app and sign in.
- Tap MY JOBS.
- Open List or Map. If you are checking a past day, tap the calendar and choose that date.
- Tap your building.
- Tap Scan Points in the location tabs. You may need to scroll the row of tabs.
- Review the listed areas and the progress count, such as 3/5 done.
- A green check means that area was scanned. A red empty circle means it was required and has not been scanned for that date.
- Under a completed point, read the time and the name of the person who scanned.
Barcode and Tag are for cleaning staff. You do not need to scan anything to review visits.
If you opened a date other than today, you are viewing that day’s history. Stay on review. If the app asks Do you want to scan anyway?, choose No.
If You Do Not See Scan Visits
- There is no Tasks & Scans item under Quality. Ask your cleaning company to confirm that your user has Checklist (Customer) and access to the building. After they change your access, sign out and back in.
- The web page says Select a Location. Choose the building first. The report does not load until a location is selected.
- A day shows a dash or “No scan required for this date.” That area did not need a scan that day. This is not a missed visit. A red X means a scan was required and did not happen.
- The phone tab says No scan points. That building has no required scan points for you to review. Ask your cleaning company if they expected visits to be tracked there.
- You expected a scan but the mark is empty or red. Confirm you chose the right building and date. If it is still missing, ask your cleaning company. They set up which areas require a scan.
- You opened Inspections or Ratings. Those are quality scores and public feedback, not scan-point visits. Return to Quality > Tasks & Scans on the web, or open the building’s Scan Points tab on the phone.
