How do I manage a group message on mobile?

See who is in a custom group message and add or remove participants without starting a new conversation.

Use this to confirm who can read a custom group conversation or change its participants from the Clean Smarts mobile app.

Applies to: Anyone with a messaging module can view the other participants in a custom group they belong to. To edit an existing group's participants, your role needs both Users (Edit) and Messaging (Manage).


Before You Start

  • The MESSAGES tab appears only when your role includes Messaging (Cleaner), Messaging (Manage), or Messaging (Customer).
  • You can change participants only in a custom chat under Groups. Membership in Internal and Customers location chats comes from location access and messaging modules. Company announcements set their recipients automatically.
  • A person also needs a messaging module to open the group in the mobile app.

Privacy warning: Adding someone keeps the same conversation and gives the new participant access to its earlier messages. If earlier messages should stay private, create a new custom group instead. Removing someone stops their access to the group and its future messages, but it cannot erase messages or notifications they already saw.


View the Participants

  1. Open MESSAGES.
  2. Select Groups if message-type tabs appear, then open the custom group.
  3. Tap the To: row below the group name. The row shows participant names and an arrow.
  4. Review or search the names on Users in this group.

Your own name is not shown on this screen. You remain a participant in the group.


Add or Remove Participants

  1. From Users in this group, tap add or remove users.
  2. On Selected users, use the Internal and Customer tabs to find people. You can also search by name.
  3. Tap a person to add or clear the check mark beside their name.
  4. Tap Save changes.
  5. Wait for Users in this group to reload, then confirm the names are correct.

The existing conversation stays in place. Your own account is kept in the group and cannot be removed from this screen.


What Happens to Notifications?

  • Adding or removing a participant does not send that person a separate push notification.
  • Participants can receive push, email, text, or in-app alerts for future messages only when the matching message notification preference is enabled for them. Custom groups use the user's Messages - Internal or Messages - Customer preference.
  • The sender does not receive a notification for their own message.
  • Tapping a message push notification opens that group in the mobile app. Phone notifications must also be allowed for Clean Smarts in the device settings.
  • The mobile app does not offer a mute setting for one group. An administrator can review each user's notification preferences on the web.

Troubleshooting

  • The group name shows a few names and +N instead of everyone. Open the group and tap the To: row. The transcript and group list do not show every participant.
  • I can view participants but do not see add or remove users. Confirm this is a custom chat under Groups, not an Internal, Customers, or company announcement thread. Your role also needs Users (Edit).
  • The button appears, but changes do not save. Saving participant changes also requires Messaging (Manage). Ask an administrator to check both modules, then reopen the group and try again on a stable connection.
  • A person is missing from Selected users. Confirm the person is active, belongs to the same company, and is within your user access. If you can add them but they cannot open the group, confirm their role has a messaging module.
  • Search says No chats found even though the group exists. Clear the search and browse Groups directly. If it is still missing, confirm that you are a participant, then use the web Message Center to check the group.
  • A removed person still has an old message or notification. Removal affects future access. It does not recall content already delivered.
