How do I create barcodes for scan points?
Print barcode labels for scan points from a location's Scope of Work tab, or associate an existing barcode from the mobile app.
Clean Smarts lets you print barcodes on labels—or reuse barcodes you already have—as scan points in the facilities you service. The same idea as security guard tour checkpoints: a scan proves someone was physically at a place and time. Paired with GPS, that gives you assurance that personnel visited specific areas during their shift.
Scan points attach to sublocations—floors, rooms, or areas under a location. Build those first so each label points to the right place. See How do I set up sub-locations?.
Applies to: Account administrators and managers with the Locations (Edit) module (or account-manager access). Printing is done in the web portal on a saved service location. Associating an existing barcode is done in the mobile app.
Before You Start
- Sublocations must already exist under the location. Printing creates a code for each selected sublocation row.
- Printing a barcode does not require cleaners to scan it. To make a scan mandatory, use Toggle Require Scan—see How do I set up scan points?.
- Codes are scanned from the Clean Smarts mobile app, not the web portal.

Print Barcode Labels from Clean Smarts
- Open the location from Manage Locations (profile menu, bottom-left), or press Ctrl/Cmd + K and search for the location name.
- In the location's left-hand menu, select Scope of Work.
- Select the checkbox next to each sublocation you want a barcode for. To print every area, select all sublocation rows in the tree.
- Click Batch Options, then Print Barcodes.

For a single sublocation:
- Open the ⋯ menu on that row.
- Choose Print Barcode.
In the print dialog you can set:
- Offset (skip labels) — start partway down a partially used label sheet.
- Copies per location — print more than one label per sublocation.
- Description only (no company name) — print just the area name without your company name.

Click Print to open your browser's print dialog.
Label sizing tip: Barcodes are sized for 1″ × 2 ⅝″ labels, 30 per page. In your browser print settings, set left and right margins to 0″ and top and bottom to 0.5″ so the labels line up.
Avery templates that match this size include 15510, 15660, 18160, 5260, 5630, and 5660 (and equivalents such as 5160).
Print the labels and post each one in the matching area. The label includes the sublocation path (for example, First Floor > Office 101).
Scan Barcodes You Already Have
You can reuse an existing barcode instead of printing a Clean Smarts label. This is done from the mobile app and requires the Locations (Edit) module.
- Open My Jobs in the main menu.
- Tap the location that has the scan point you want to update.
- Open Scan Points in the top bar.
- Tap Open scanner at the bottom and scan the barcode.
That barcode is now associated with that scan point. Cleaners scan the same code going forward—no new label required.

Tips and Troubleshooting
I don't see Scope of Work. It only appears on saved service locations. Confirm the location is a service location and your role includes Locations (Edit).
Batch Options is greyed out. Select at least one sublocation checkbox first.
The barcode won't scan / labels are misaligned. Reprint with left/right margins at 0″ and top/bottom at 0.5″, and print at full size (no "fit to page"). If barcodes remain unreliable, print QR codes instead—they're more forgiving on small labels.
I printed barcodes but cleaners aren't required to scan. Use Toggle Require Scan on each sublocation that should be mandatory. See How do I set up scan points?.
Open scanner isn't available / can't associate my own barcode. Confirm the mobile user has Locations (Edit). Without that module, they can scan required points during a shift but can't reassign the code.
The app says the scanned item doesn't match this location. The code is tied to a different sublocation. Confirm the right label is posted in the right area, and that you're scanning from the correct location in My Jobs.
