How do I create or edit a shift in the mobile app?

Create a one-time or repeating shift in the Clean Smarts mobile app, then assign cleaners separately. Edit existing shifts in the web app.

Managers can create a shift from the field without opening the web app. The mobile form creates the shift schedule; assigning cleaners is a separate step.

Applies to: Managers who see New shift or Create shift. The app shows this option to users with Schedule (Edit) or Locations (Edit). Schedule (Assign Only) and Schedule (View Only) do not provide the create option.


Before You Start

  • Connect to the internet. Creating a shift sends it directly to Clean Smarts and is not saved as an offline change.
  • Decide whether the shift happens once or repeats. The form defaults to Weekly, Monday through Friday, starting today.
  • Have the location, check-in and checkout times, pay code, and pay-rate rules ready.
  • Remember that Cleaners per shift sets how many cleaners the shift needs. It does not select or assign anyone.

Create a Shift

  1. Open HOME, tap the + button, and select New shift. - You can also open MY JOBS, tap the + in the header, and select Create shift.
  2. Tap Select location, then choose the location where the work will happen.
  3. Select a Frequency: - Choose Once for a one-time shift. - Choose Daily, Weekly, Monthly, or Yearly for repeating work.
  4. Enter a Description.
  5. Set the Checkin time, Checkout time, and Start date. The mobile date picker allows today through 12 months from today.
  6. Complete the recurrence fields that appear: - For Daily, set Every x days. - For Weekly, select the Day of week choices and set Every x weeks. - For Monthly, set Every x months and Week. - For Yearly, select the Month.
  7. Enter Cleaners per shift, from 1 to 12.
  8. Select a Paycode ID, or leave No pay code selected.
  9. Review the optional controls: - Prevent off hours check in stops check-ins outside the allowed shift window. - Enable payrate override uses the Pay rate on this shift instead of an assigned cleaner's normal rate.
  10. Tap Create shift. When the shift is saved, the app displays Successfully created new shift and returns to the previous screen.

Important: A repeating shift created on mobile has no end-date field. Review open-ended recurrences in the web calendar.


Assign a Cleaner

Creating the shift does not add it to a cleaner's personal schedule.

  1. Open MY JOBS and select a date when the new shift occurs.
  2. Open the shift's location.
  3. On Main, expand Assignments.
  4. Tap the person-with-plus icon beside the shift.
  5. Select a cleaner and choose the assignment date.
  6. Choose This date only or This date and in the future.

Assigning or unassigning cleaners requires Schedule (Edit) or Schedule (Assign Only). Schedule (View Only) is not enough.

If the new shift is not visible yet, open MORE > Sync, tap Sync, and check the date again.


Edit an Existing Shift

The mobile app does not provide an edit form for an existing shift's times, recurrence, pay code, pay rate, or check-in rules. Use the Clean Smarts web calendar to change those settings, end a repeating shift, review conflicts, or make bulk schedule changes.

You can still assign or unassign cleaners from mobile when your role permits it.


Troubleshooting

  • New shift or Create shift is missing. Ask an administrator to confirm that your role has Schedule (Edit) or Locations (Edit). Sync or sign in again after a module change.
  • Create shift is disabled. Select a location, enter a description, set both times and a start date, and complete the fields for the selected frequency.
  • The wrong days are selected. The form starts as a weekly Monday-through-Friday shift. Choose Once for one date or review the selected weekdays before creating it.
  • A cleaner cannot see the shift. Cleaners per shift does not assign anyone. Assign the cleaner under Assignments, then have them use MORE > Sync if needed.
  • The shift has the wrong pay settings. Correct it in the web app before the cleaner works it. Enable payrate override can replace the cleaner's normal rate for this shift.
  • The app reports an error. Confirm the phone is online, review the required fields, and try again.
