How do I create a location from the mobile app?

Create a standalone service location from the Clean Smarts mobile app, then finish its hierarchy, access, and site setup on the web.

Use the mobile app when you need to add a service site while you are in the field. The mobile flow creates the basic location; use the web portal afterward for its full setup.

Applies to: Mobile app users with Locations (Edit). A manager title by itself does not provide this access.


Before You Start

  • Connect to the internet. Creating a location sends it directly to Clean Smarts and is not an offline action.
  • Have the site's complete address ready. Select the matching address suggestion when possible, then confirm the populated city, state, and postal code.
  • The mobile app creates a standalone service location. It does not let you choose a parent location or create an organizing location for a company, region, or customer account.
  • Cleaner notes are required by the mobile form. These notes can be visible to cleaners who have access to the location, so do not enter private customer or employee information.

Create the Location

  1. Open Home in the mobile app.
  2. Tap the + button in the lower-right corner.
  3. Tap New location. You can also open My jobs, tap + in the top-right corner, and choose Create location.
  4. Enter a clear site name in Description.
  5. Enter the street address in Address. Select the correct suggestion, then check City, State, and Postal code.
  6. Enter instructions that assigned cleaners should know in Cleaner notes. If there are no instructions, enter a short note such as "No special instructions."
  7. Add Admin notes only when managers need internal information that cleaners should not see.
  8. Leave Barcode or tag set to N/A unless your company requires a location barcode or NFC tag for check-in and check-out. Selecting Barcode or NFC changes how employees clock in at this location; finish the barcode or tag setup before assigning employees.
  9. Choose an Enforce out of bounds setting: - Use company default setting follows the company-wide geofence rule. - Do not enforce the geofence at this location allows check-in and check-out outside the geofence. - Users must be on site to clock in and out blocks those actions outside the geofence. - Enforce the geofence at this location and clock users out when they leave (requires always-on location sharing) also enables automatic clock-out when an employee leaves.
  10. Set Require location to control whether employees must turn on device location services to check in and out. Use Use company default setting unless this site needs a different rule.
  11. Tap Create location.

The app displays Successfully created new location and returns to the previous screen.


Finish the Setup on the Web

Open Manage Locations in the web portal before employees begin using the site. From there you can:

  • Move the location under the correct company, region, or customer parent.
  • Verify the map pin, geofence radius, and timezone. The mobile form sets the enforcement rule but does not show the map or let you set the radius.
  • Add user access, site supervisors, shifts, and inspections.
  • Create sublocations, assign checklists, and configure scan points.
  • Add custom fields, supplies, files, and other service details.

Troubleshooting

I do not see New location or Create location. Ask an account administrator to check your modules. The mobile entry points require Locations (Edit); Locations (View) is not enough.

The Create location button is unavailable. Complete Description, Address, and Cleaner notes. The button remains disabled until all three fields have received a value.

The app says Error occurred while creating location. Confirm that you are online, recheck the required fields, and try again. If the error continues, use Manage Locations in the web portal so you can verify the address and all setup fields before saving.

The location was created, but employees cannot find it. In the web portal, place it under the correct parent and give the employees location or shift access. Then have them open More > Sync in the mobile app.

Employees have location or geofence problems. Check the map pin, geofence radius, timezone, and enforcement setting on the location's General tab in the web portal.
