How do employees use payroll or onboarding from the mobile app?

Employees using Clean Smarts Payroll can complete onboarding, update payroll information, and open paystubs and tax documents from My Profile.

When your company uses Clean Smarts Payroll, the mobile app gives you a secure place to complete payroll onboarding and open your personal payroll records.

Applies to: Employees and contractors whose company is enrolled in Clean Smarts Payroll and has created a payroll profile for them. Companies that only export Clean Smarts time to another payroll provider do not get these mobile payroll actions.


Before You Start

  • Connect your phone to Wi-Fi or cellular data. Payroll pages are not available offline.
  • Sign in with your own Clean Smarts account. Payroll links open the records for the signed-in worker.
  • Have any identity, tax, or payment information requested by the secure payroll page ready.

Privacy: Do not send full bank account numbers, routing numbers, Social Security numbers, or tax documents through regular messages or email. Enter sensitive information only on the secure payroll page opened from the app.


Complete Payroll Onboarding

If your payroll profile needs attention, the app can show a warning on HOME that your paycheck might be delayed. The same warning and Complete payroll onboarding button appear at the top of My Profile.

  1. Tap Complete payroll onboarding from the warning on HOME, or open MORE > My Profile and tap it there.
  2. Complete every required item on the secure payroll page. The page shows what is still missing, including direct-deposit setup when it applies.
  3. Submit or save each item as directed.
  4. Return to Clean Smarts. If you started from My Profile, that screen refreshes your payroll status. If you started from HOME, close the prompt and open MORE > My Profile to refresh it.

Once payroll onboarding is complete, the warning and onboarding button disappear. A Payroll section appears lower on My Profile instead.


Use the Payroll Section

  1. Open MORE > My Profile.
  2. Scroll down to Payroll.
  3. Choose the action you need: - Edit payroll info opens your secure payroll profile so you can review or change the information made available there. - View paystubs opens the paystubs your payroll provider has made available. - View tax documents opens your available year-end tax forms. Employees receive W-2 and other employee tax forms; contractors receive 1099 and other contractor tax forms.
  4. Return to Clean Smarts when you finish.

The app may also show a Your end-of-year tax documents are ready reminder on HOME near the end of January. Tap View tax documents, or open the same action later from MORE > My Profile.

Payroll warning: If a direct deposit is already processing, do not assume that changing bank information will redirect that payment. Ask your payroll administrator to confirm the payment status and effective date of any change.


Troubleshooting

  • I do not see any payroll actions. Your company may not use Clean Smarts Payroll, or your payroll worker profile may not exist yet. These actions are not unlocked by a standard mobile role or module. Ask your payroll administrator to confirm both company enrollment and your worker profile.
  • The secure payroll page does not open. Confirm that Connection Status on My Profile says Online, then try again. Update the app if the link still does not open.
  • Complete payroll onboarding remains after every item is finished. Reopen MORE > My Profile so the app refreshes your status. If the secure page shows every item complete but the warning remains, tell your payroll administrator. An employer or state filing authorization may still need attention.
  • A paystub or tax document is missing. Only records already made available by the payroll provider appear. Confirm the pay date or tax year, then ask your payroll administrator if the record should be available.
  • My direct deposit has not arrived. View paystubs can show the pay record, but it does not prove when your bank posted the deposit. Ask your payroll administrator to confirm the payment status, expected deposit date, and only the last four digits of the destination account. Your bank may need an ACH trace number.

This profile flow does not cover manager payroll approval, payroll exports, employer setup, or tax advice. Approval tools are separate and module-gated; exports and employer setup are in the web portal.
