How do I add locations and shifts?

Clean Smarts allows you to organize your cleaning operations by adding locations and configuring shifts for each site. You can set up detailed location information, create recurring schedules, manage budgets, and assign employees to specific shifts.

Adding a New Location

  1. Go to Admin > Locations.
  2. Click Add Location.
  3. Enter the Location Name and select a Parent Location (we recommend using your company name as the parent location for easier reporting).
  4. Check mark as Service Location if this is an active service site.
  5. Enter the Address, select your Country, and set the Geofence Radius.
  6. Click Save Changes.

Service Details

  • Admin Notes: Internal notes visible only to administrators.
  • Cleaner Notes: Information for cleaning staff (entry codes, instructions, job scope details).
  • Site Supervisor: Assign a supervisor to oversee this location.

Employee Check-in Options

Choose how employees will clock in:

  • Slide to Clock In: Standard mobile app check-in.
  • Location Barcode: Print barcodes for employees to scan at the site.
  • NFC Tags: Tap-to-clock-in tags [ Order Product ].

Adding Shifts to a Location

  1. From the location settings, go to Shifts and Inspections.
  2. Click Add Shift and enter a Description.

Configuring Shift Frequency

  • Every [X] Week(s): Select 1 for weekly, 2 for bi-weekly, etc., then choose specific days.
  • Every [X] Month(s): Select which week of the month (1st, 2nd, 3rd, 4th, or Last) and days.
  • Every [X] Day(s) or Year(s): For daily or annual schedules.

Shift Times and Settings

  • Start/End Date: When the shift schedule begins and ends (leave end date blank if ongoing).
  • Shift Hours: Set start and end times.
  • Prevent Early/Late Check-in: Restrict employees from clocking in outside scheduled hours.

Budget and Pay

  • Budgeted Cleaners: Number of employees needed for this shift.
  • Budget Labor Rate: Hourly rate to calculate labor costs.
  • Pay Codes and Meal Break Settings: Select appropriate options.

Flat Fee Payments

For shifts paid as a flat fee regardless of hours:

  1. Go to Assignments and Notifications > Adjustments.
  2. Select Set Amount of Time Recorded Regardless of Time Worked.
  3. Enter hours to multiply by the rate (e.g., enter "1" for a $150 flat fee if rate is $150/hour).

Assigning Employees and Notifications

  • Assignments: Select employees to assign to this shift.
  • No-show Alerts: Set alerts if employees don't clock in (e.g., 15 minutes after shift starts).
  • Advanced Reminders: Send shift reminders to employees hours before the shift (useful for monthly or quarterly schedules).

Click Create Shift to save.

Organizing with Parent Locations

Create parent locations to organize sites by company, manager, city, or region. To move a location under a parent, edit the location and select the parent from the dropdown.
